Entering or uploading guest numbers

Filling in guest numbers is essential for an accurate analysis of your food waste streams.

By entering your guest numbers, you can view the total amounts per week in the "Total weight per week" graph. The average food waste per guest is also calculated, giving you insight into the relationship between the number of guests and the amount of food waste.

Why is this useful?

  1. Use it as a benchmark to compare peak and off-peak periods.
  2. Use it to optimise your budget, by including costs and food waste per guest in your calculation. 

 

There are four ways to add your guest numbers to the dashboard:

  1. Manually - enter them directly in the portal, per day or per time of day.
  2. Bulk upload - upload a CSV or XLSX file for one or multiple locations at once.
  3. API - push data directly to Orbisk using our API.
  4. System integration - connect your own system directly to Orbisk for automatic data transfer.

 

NOTE: The instructions below cover manual entry and bulk upload. For the API option, refer to our helpcenter article “Getting started with the Orbisk API” for more information.

For system integrations, we currently support Silverware POS, Mews and Opera Cloud. These are set up on request. If you use a different system we recommend using the API to push guest numbers directly. Reach out to your impact coach to explore what works best for your setup.

 

1. Manually enter guest numbers per day or time of day

Step 1: Navigate to "Guests" on the left side of the dashboard.
Step 2: Enter the total number of guests for each day.
Step 3: Click "Save changes."

Step 1: Navigate to "Settings" on the left side of the dashboard.
Step 2: Indicate which days the location is open or closed.
Step 3: Enter the start times for breakfast, lunch, and dinner.
Step 4: Select "fill in guest amount per day part?"

Step 5: Go back to "Guests" on the left side of the dashboard.
Step 6: Enter the total number of guests for each day.
Step 7: Click "Save changes."

2. Bulk uploading guest numbers

Watch the video and follow the steps below. 

For all actions, the first steps are the same:

  1. Log in to your personal dashboard 
  2. Navigate to ‘guests’ on the left side
  3. Click on upload a filed

Now choose one of the following items to upload your guest details:

  1. for 1 location
  2. for multiple location
  3. per half-day session (for 1 or more locations)

Upload guest data for 1 location

Step 1: Download a template (simple_sample.csv, simple_sample.json, simple_sample.xlsx, to see an example of the required format) 

Step 2: Make sure your file has the following fields filled in correctly

  • timestamp:  The date the data was recorded (format: YYYY-MM-DD, example 2024-05-23).
  • guest_amount: The amount of guests. If you enter "-1" on a specific day, the system sets that day to closed.

Step 3: Check your data and save the document in a .csv, .json, or .xlsx file.
Step 4: Click ‘choose a file’ to upload your just-saved document in the Orbisk dashboard

Upload guest data for multiple locations

Step 1: Open the guidelines to format files correctly so you can download the template to preview the required format (sample_with_zone-id.csv, sample_with_zone-id.json, sample_with_zone-id.xlsx

Step 2: Make sure your file has the following fields filled in correctly

  • timestamp:  The date the data was recorded (format: YYYY-MM-DD, example 2024-05-23).
  • guest_amount: The amount of guests. If you enter "-1" on a specific day, the system sets that day to closed.
  • zone-id: The unique identifier for each location.

The zone-id can be found in the URL of your dashboard, if you need multiple zone-ids for many different locations or are unsure that you have the correct one, please contact support@orbisk.com

Step 3: Check your data and save the document in a .csv, .json, or .xlsx file.
Step 4: Click ‘choose a file’ to upload your just-saved document to the Orbisk dashboard. 
 

Uploading guest data per day part (for one or multiple locations)

It's also possible to enter your guest data per day part. The day parts are divided into period_1 (morning), period_2 (afternoon), and period_3(evening), regardless of what name you have given to that period.
 

Step 1: Add a final column to your template called “period.” (this can be done in the template you have chosen from one of the above options)

Step 2: Enter your guest data in the guest_amount column and then fill in the period column to indicate which day part it is: period_1, period_2, or period_3 (it does not matter what name you have given to your day parts). 


Step 3: Check your data and save the document as a .csv, .json, or .xlsx file.


Step 4: Click “choose a file” to upload your recently saved document to the Orbisk dashboard.
